The Agricultural Development (AgDev) aims to catalyze country-led, inclusive, agricultural transformation (IAT) by developing and scaling products, services, policies, and system-wide innovations that benefit small scale producers, empower women, and improve nutritional outcomes. We want farmers in Sub-Saharan Africa (SSA) and South Asia (SA) to be empowered with the knowledge, tools, and technologies to improve their livelihoods and lift themselves and their families out of poverty.

Your Role

The Program Assistant is an integral member of the team and works with principals to prioritize scheduling needs for the team, acting as a thought partner to look at the overall needs for meeting requests and alignment with team strategic priorities. The Program Assistant provides wide and varied administrative and organizational support for the program and operations leaders and teams. Efficiency, attention to detail, flexibility, and strong interpersonal and problem-solving skills are essential for success in this role.

This role reports to the Manager, Strategy, Planning, & Management in AgDev.

What You’ll Do

  • Manage complex calendars including meetings with participants in multiple time zones, both internal and external to the organization.
  • Proactively review upcoming weeks/months in support of principals with planning, recognizing potential bottlenecks, and making recommendations for how to best allocate time/make trade-offs when scheduling issues arise.
  • Schedule and plan events, such as meetings, conferences and presentations, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials, compiling expense reports, and processing reimbursement requests.
  • Maintain organized files and records and a system for tracking, monitoring and prioritizing tasks and projects.
  • Work on special projects as needed. May include conducting basic research and analysis of data to respond to requests.
  • Establish and manage relationships with our grantees as well as internal and external business partners.

Your Experience

  • Associate or bachelor’s degree with 3+ years of experience, or equivalent experience preferably in an administrative role for a complex and fast-paced organization, interacting intensively with internal and external contacts.
  • Sets priorities and meets goals while balancing needs of providing support for multiple individuals, including complex calendar, travel and event planning.
  • Able to communicate effectively with internal and external contacts and adjust to a wide variety of working styles.
  • Experience learning organizational priorities and how they align with the goals of a specific department/division.
  • Ability to track rhythm of business while also dealing with ambiguity and change.
  • Experience establishing organizational systems to improve efficiency and functioning in a changing environment.
  • Proven positive, collaborative approach to work, including dedication to problem solving.
  • Proficient with MS Office Suite including Outlook, Teams, PowerPoint, and Excel.

*This assignment is anticipated to be 6 months in duration.
